ARLINGTON FOUNDATION
On March 5, 2026, the Arlington Foundation hosted its first Arlington Action Day, bringing together employees from our Birmingham offices across all companies to serve with three current Foundation grantees. Volunteers at Urban Ministry completed facility improvements that enhanced the organization’s main office space. At the Community Food Bank of Central Alabama, teams packed more than 700 food boxes, which is 14,000 LB of food. At Hatching Hope, volunteers assembled disaster recovery kits, organized supplies, and helped prepare the mobile disaster response trailer.
The day was a meaningful expression of the Foundation’s mission in action, moving beyond financial support to serve community partners in tangible ways.

Empowers employees to upload certifications, submit renewals, and provide updates directly through the Employee Self-Service portal.

The Year One Employee Engagement Survey Series engages employees at key milestones throughout their first year of employment.
Surveys are administered at 45 days, 75 days, six months, and one year.
Each survey gauges overall satisfaction related to communication, role clarity, benefits, access to tools and resources, and general onboarding experience.
The structured timeline allows us to identify trends, address concerns early, and provide timely support.
Insights gathered help strengthen engagement, improve retention, and enhance the overall employee experience.

In January, we launched the first session in a new HR Education Series focused on supervisor and manager development. The inaugural session, “Let’s Talk Performance: Coaching, Feedback, and Development,”provided practical guidance on delivering effective feedback, strengthening performance conversations, and supporting employee growth.
This training series will continue on a quarterly basis, covering highly relevant HR topics designed to equip supervisors and managers with the tools, confidence, and knowledge needed to lead effectively and consistently across the organization.

Effective January 1, 2026, several strategic enhancements were implemented to strengthen participation and retirement readiness across the organization:
Auto-enrollment at 4% for eligible employees
Increased employer match to 50% of the first 8% deferred
Reduced match eligibility waiting period to the first of the month following 90 days of employment
Expanded eligibility to include all employees
Early Impact Metrics:
Overall plan participation has increased by approximately 2%.
Average employee contribution rates have increased by 4.4%, indicating stronger engagement and retirement savings behavior.
These early indicators suggest that the enhancements are positively influencing participation and savings activity. We will continue monitoring participation trends, deferral rates, and employer match utilization to evaluate long-term impact and ensure the plan remains competitive and supportive of employees’ financial wellness goals.

Monthly-End Deadline
Enter all invoices by end of day, five business days prior to the last business day of the month to ensure timely check cuts.
Regular Schedule
Check runs are performed Tuesdays and Thursdays after the first ten calendar days of each month.
Urgent Payables
During the first 10 calendar days of the month, check runs are not generally performed — but can be arranged for urgent payables if necessary.

Enter Credits Separately
Code credit memos as a credit memo in P2P with a positive amount — do not net against invoice totals.
Cover Sheets
Add cover sheets to the attachment tab so they can be downloaded and printed with the check.
Invoice Amounts
If not paying the full invoice amount, write the intended payment amount directly on the invoice before submission.
To ensure checks are processed in time for month-end, please enter all invoices by the end of the day five business days before the last business day of the month.
As a reminder, check runs occur twice weekly (Tuesdays and Thursdays), except during the first ten calendar days of each month, when check runs are generally not performed. Urgent payables during this time can be processed if necessary.

For security deposit refunds, please ensure you obtain Regional Manager approval of the final move-out statement if the refund amount is $1,000 or more.
Once RM approval is obtained, provide the final move-out statement to Jim Schwegman to process the deposit refund.

Automatic write-offs of past tenant balances will continue to be rolled out to additional properties, streamlining collections and reducing manual work for site teams.
30-Day Timeline
System uses Deposit Accounting date — charges are written off 30 days after DA for Past status tenants.
Manual Exceptions
Skips and evicts should be sent to collections and written off immediately — handle these manually.
